Confidentiality

Transcription Professionals recognizes that your data is proprietary and valuable. Accordingly, we have implemented this confidentiality policy. Please also review our Website Terms and Conditions of Use and Privacy Policy.  If you have any questions or concerns regarding if we have requested information from you, please contact Transcription Professionals first.

We strictly enforce the following working procedures:

·         Client data is always treated as strictly confidential. Transcription Professionals exercises due diligence to apply the same standard of care to client data as it would to its own confidential information.

·         Access to client data by Transcription Professionals personnel is strictly on a need-to-know basis and is permitted only in connection with defined tasks and objectives agreed to by the customer.

·         Any client data will be immediately destroyed upon the client’s written request. Otherwise, Transcription Professionals will retain client data after completion of a task only when deemed helpful for ongoing support purposes, continuing to observe the same precautions outlined above.

·         All typists are apprised of the present guidelines and are formally required to abide by them as a condition of ongoing work.

·         By requests, we will sign a client-provided confidentiality agreement/NDA.

Please note that the above does not apply to unsolicited data provided or sent to us without first engaging Transcription Professionals for services. Please do not send unsolicited data to Transcription Professionals. If you use, provide, transmit, store, or disclose data through this Website, you agree to indemnify Transcription Professionals against any damages, losses, liabilities, judgments, costs, or expenses (including reasonable attorney fees and costs) that arise from your use, provision, transmission, storage, or disclosure of such data.

SECURITY & HIPAA-COMPLIANCE NOTE:

For universities and medical schools with private health information included in patient studies, we have found the most efficient and secure security practice is to use YOUR university dropbox — for us to retrieve recordings and deposit completed transcripts. That way recordings and transcripts never go through email or any outside server.

In those cases, we would request you give login information directly to one assigned transcriptionist (or more, if needed), so that others at Transcription Professionals never have access to your private data.

Unlike our bigger competitors, we also have a small and tightly controlled and personally supervised business, enabling us to be accountable to your data.

Please don’t hesitate to call or write with more specific questions!
